Who we are

The Xperience FL Sports (“The Xperience”, “we”, “us”) is a youth sports organization operating programs in Central Florida. This policy explains what information we collect through this website and our registration process, how we use it, and the choices you have. Information we collect

Information you give us. When you register an athlete, contact us, or sign up for updates, we collect the details needed to run the program: parent or guardian name, email address, phone number, athlete name, date of birth or age, division or sport interest, emergency contact details, and any medical or accessibility information you choose to share so we can keep your athlete safe.

Payment information. Registration payments are processed by our registration and payment providers. We do not store full card numbers on our systems.

Information collected automatically. Like most websites, ours records basic technical data such as IP address, browser type, pages viewed, and referring page. This is used for security and to understand which parts of the site are useful.

Children’s privacy

Our programs are for youth athletes, and information about a child is provided by a parent or guardian, not by the child. We do not knowingly collect personal information directly from children. Athlete information is used only to operate the program the athlete is registered for: rostering, scheduling, communication with the parent or guardian, and safety.

If you believe a child has given us information directly, contact us and we will delete it.

Photos and video

We photograph and film at our programs and events, and we use those images on this website, in program materials, and on our social media accounts to show what our programs look like. If you would prefer your athlete not appear in our photos or video, email [email protected] and we will honor that request. Tell us at registration where possible so we can flag it with coaches and photographers ahead of time.

How we use your information

We use the information we collect to process registrations and payments, form teams and divisions, publish schedules, contact you about the program your athlete is in, respond to your questions, send program announcements and registration reminders if you have asked for them, keep athletes safe, and meet our obligations to our league partners.

We do not sell your personal information.

Who we share it with

We share information only where it is needed to run our programs: with our registration, payment, and email service providers; with coaches and program staff, limited to the athletes they are responsible for; with our league partners where participation requires it; with venues where required for access or insurance; and where the law requires it.

Cookies

This site uses cookies to keep the site working correctly, remember preferences, and measure general traffic. You can block or delete cookies in your browser settings, though some parts of the site may not work as expected if you do.

How long we keep it

We keep registration records for as long as needed to run the program and to meet our accounting, insurance, and legal obligations, and then delete or anonymize them. Mailing list subscriptions are kept until you unsubscribe.

Your choices

You can ask us to see, correct, or delete the personal information we hold about you or your athlete, ask us to stop sending marketing emails (every one has an unsubscribe link), or ask that your athlete not be photographed. Email [email protected] and we will respond as promptly as we can.

Security

We take reasonable steps to protect the information we hold, but no website or online service is completely secure. Please tell us right away if you believe your account or information has been compromised.

Changes to this policy

We will update this page when our practices change, and the revised date below will tell you when it last changed.
